Staffing Coordinator

We are seeking a talentedStaffing Coordinator responsible for ensuring workforce scheduling, staffing and coverage is in place, to execute assigned work. This position will act as the direct supervisor for all event staff and partner with management to deliver high-quality associates for work in their area. In this role you will be responsible for ensuring platform specific execution targets are met in a cost-effective manner while utilizing our in-house database systems. The ideal candidateistech savvy, self-motivated and works well independently and as part of a team.

Things to Consider :

  • Shifts are staggered from 7:00AM - 7:00PM against a M – F or TH - M schedule

  • Each Scheduler is responsible for a specific geography

  • Start time is based on Time Zone/Geography

What You'll Do:

  • Primary point of contact for all things related to schedule and associate availability

  • Responsible for workforce scheduling/coverage as well as scheduling/rescheduling events.

  • Partners and explains staffing/scheduling process to all new Event Specialists.

  • Confirms training completion for all new incoming associates

  • Works with various internal software programs and reporting tools to schedule work

  • Identifies trends in events and workload as well as manpower shortfalls and third-party needs.

  • Recognize and provide solutions for short-term/ long-term staffing gaps.


  • High School Diploma/GED (Bachelor's Degree or equivalent experience preferred)

  • Previous scheduling experience highly desired

  • Intermediate to advanced computer skills including Microsoft Office (Outlook, Word, Excel, etc.)

  • Strong communication and analytical skills

  • Detail oriented with a high accuracy level

Position Summary

The Scheduler Administrator is responsible for ensuring 100% workforce scheduling, staffing and coverage is in place, in order to execute assigned work. This position works in partnership with management to deliver high quality associates for work in their area. The incumbent must utilize proprietary management systems, as well demonstrate strong analytic and communication skills to accomplish these tasks.

Essential Job Duties and Responsibilities

  • Ensure that data and information is up to date and accurate

  • Work with various internal software programs to schedule work

  • Review all incoming associates to ensure they have completed training and their training completion is designated in the system

  • Review various reporting tools to identify long term staffing gaps and works with management to request additional associate support

  • Identify short term staffing gaps and leverages existing talent and other resources to ensure event execution meets standards

  • Identify long term trends in events and workload, and ensures that business is set up to execute to staffing targets

  • Partner with management, HR and other Company departments regarding any related issues

Minimum Qualifications

Education Level: (Required): High School Diploma or GED o r equivalent experience

(Preferred): Bachelor's Degree o r equivalent experience

Field of Study/Area of Experience:

1-3 years of experience in a supervisory or lead capacity

Skills, Knowledge and Abilities

  • Excellent problem solving ability

  • Strong initiative and self-directed, ability to work independently with little or no supervision

  • Good organization and follow up skills

  • Mathematical and analytical ability

  • Detail oriented with high accuracy level

  • Intermediate to Advanced PC skills

  • Must be proficient in Microsoft Office Word, Excel, Outlook and PowerPoint

  • Strong communication skills

  • Safety: must have the ability to perform the job safely by demonstrating full awareness of his/her surroundings. Will utilize proper safety techniques and equipment use when necessary. Will be proactive in alerting Management of any unsafe act or condition to prevent injuries.
